James Cottam Flooring supplies and fits carpet, laminate, engineered wood, vinyl and artificial grass across Bourne, Spalding, Stamford and the surrounding areas. This policy explains what personal information we collect when you contact us or use our website, why we collect it, what we do with it and what rights you have over it.

● Correspondence between us, whether by phone, email, text, WhatsApp, social media or our website enquiry form.
● Reviews and feedback you choose to give us.
● Technical information collected automatically when you use our website, such as your IP address, browser type, device type and the pages you visit.
We do not ask for or knowingly collect special category information such as health data. If you tell us something of that nature because it affects the work, for example a mobility issue that changes how we plan an installation, we will only use it for that purpose.

● Directly from you, when you call, email, message us on social media, complete our enquiry form or speak to us during a sample visit or site survey.
● From someone acting on your behalf, such as a landlord, letting agent, builder or family member arranging work at your property.

● From publicly available sources or referrals, where a previous customer has recommended us to you.
Why we use your information and our lawful basis
Under UK data protection law we need a lawful basis for using your personal information. We rely on the following.
Performance of a contract, or steps taken at your request before entering a contract. We use your information to respond to your enquiry, arrange a sample visit, measure up, prepare a quote, order materials, book and carry out the installation, invoice you and deal with any aftercare or warranty matters.
Legitimate interests. We use your information to run and improve our business, keep records of the work we have done, deal with complaints or disputes, prevent fraud, and contact past customers about services that may be relevant to them. We balance this against your rights and you can object at any time.
Consent. Where you have opted in, we use your information to send you marketing emails or messages, and to set non-essential cookies on our website. We may also ask your permission before using photographs of completed work in our marketing. You can withdraw consent at any time.

Opting out of marketing does not affect messages about a job we are carrying out for you.
How long we keep it
● Enquiries that do not lead to work: up to 24 months, so we can pick up the conversation if you come back to us.
● Customer and job records, including quotes, invoices and photographs: six years after the end of the financial year in which the work was completed, to meet accounting requirements and to cover any claim or warranty issue.
● Marketing contact details: until you unsubscribe or ask us to remove you.
● Website analytics data: as set out in our cookie settings.
When information is no longer needed we delete it or securely destroy it.
